Portfolio permissions

Learn about portfolio permissions in TaskFord to understand each role’s access and control how users interact with portfolios and connected boards.

Portfolio permissions in TaskFord define what users can do within portfolios. These permissions control how users interact with portfolios, manage their structure, and access work that aggregates tasks from multiple boards.

By understanding how these permissions work, you can manage who can view, modify, or delete portfolio content, and ensure appropriate access across the workspace.

Role-based permission matrix

Here’s how roles relate to specific actions users can complete within portfolios.

Custom roles allow you to define specific permissions for your users, offering flexibility beyond the default roles.

Depend on the board’s permissions

When you invite a member to a portfolio, their visibility and access are controlled not only by portfolio-level roles, but also by board-level permissions. This ensures users can only interact with boards they are authorized to access.

How portfolio and board permissions work together

Inviting a user to a portfolio gives them access to the portfolio itself, but it does not automatically grant access to all connected boards. A user’s ability to view or interact with each board depends on their permissions for that specific board.

Example

You have Board A, which is connected to Portfolio B.

If you do not have the delete task permission on Board A, you also cannot delete tasks from Board A while viewing them inside Portfolio B, even if you are a Portfolio Admin.

If a team member does not have access to a connected board, you must subscribe them to the board or ask the Board Admin to grant access.

If the Portfolio Admin is not also the Board Admin, they must contact the Board Admin to request the required permissions.

Note

Portfolio permissions manage access to the portfolio itself, but board permissions still control access to tasks and actions inside each connected board.
