Site task types

Manage and customize task types in TaskFord to organize, track, and standardize work across boards.

Task types define the different kinds of work on your board, such as Tasks, Subtasks, and Milestones. They help structure your work so it’s easier to organize, track, and manage different types of activities.

In Site settings, admins use the Task types tab to create new task types, edit existing ones, or delete task types that are no longer needed. Once created, these task types become available for selection in Board settings, where admins can choose which ones to use on specific boards.

The Task types table shows all available task types, including their name, category, description, last updated date, and available actions. Task types include both system-defined types and custom types, allowing you to tailor your workspace to fit your team’s workflows and project needs.

System-defined task types:

  • Task: A standard unit of work
  • Subtask: A smaller task within a parent task
  • Milestone: A key checkpoint or important event in a project

  1. Navigate to the Site settings page
  2. Select the Task types tab from the left-hand menu.

Search for task types

To search for task types, use the Search bar and enter the task type name. This helps you quickly locate specific task types within the site.

Create a task type

Admins can create a new task type from the Task types tab in Site settings:

  1. Click + Task type in the top-right corner.

  2. Choose how you want to create the task type:

    • Create manually: Select an icon and color, then enter a task type name and description.
    • Use a template: Click Use a template, then select one of the available templates.
  3. Click Create to save the task type, or Cancel to discard your changes.

Edit a task type

Admins can update custom task types when their details need to change.

To edit a task type:

  1. Find the task type you want to update.
  2. Click the More actions icon (⋯) next to the task type.
  3. Select Edit.

  1. Update the icon, color, name, or description as needed.
  2. Click Save to apply your changes, or Cancel to discard them.

App Admins can customize system-default task types. Any changes to these task types are applied as the default task types across all boards in the site.

Delete a task type

Admins can delete custom task types that are no longer needed.

To delete a task type:

  1. Find the task type you want to delete.
  2. Click the More actions icon () next to the task type.
  3. Select Delete.
  4. In the confirmation dialog, click Delete to confirm.

To cancel, click outside the confirmation dialog.
